What is Calculate Prorated Amount?
Calculate Prorated Amount helps you revise subscription invoices when a student has attended only part of a limited-session subscription.
For example, if a student purchased a 10-session subscription but attended only 2 sessions, you may want to charge only for the sessions attended. spynPRO shows a suggested prorata amount so you can review, edit and save the revised invoice amount.
Why use this feature?
This feature is useful when:
- A student stops attending before completing their subscription.
- A limited-session plan ends, but the student did not use all sessions.
- You want to reduce the invoice amount based on actual attendance.
- You want to review eligible invoices in one place instead of calculating amounts manually.
- The feature saves time and helps reduce billing errors.
Where to find it
Go to: Invoices → AcademyPRO → Calculate Prorata
The Calculate Prorata page shows all eligible subscription invoices for the selected month.
Which invoices are eligible?
An invoice is shown for prorata calculation when:
- It belongs to an AcademyPRO subscription.
- It is a limited-session subscription.
- The invoice is unpaid.
- The student has attended fewer sessions than the subscription allows.
Which invoices are excluded?
Invoices are not shown for prorata calculation if:
- The invoice is already paid.
- The subscription has unlimited sessions.
- The student has attended all allowed sessions.
- The subscription has a discount.
How is the suggested amount calculated?
spynPRO calculates the suggested prorata amount using this formula:
Subscription fee × sessions attended ÷ total sessions
Example: $1000 × 2 ÷ 10 = $200
So if the original subscription fee is $1000, and the student attended 2 out of 10 sessions, the suggested prorated subscription fee is $200. Taxes are then calculated based on the revised subscription fee.
Can I edit the prorata amount?
Yes. The suggested amount is only a recommendation. You can change the new invoice amount before saving. This is useful if you want to charge a different amount because of your business policy, special circumstances or manual adjustment.
