Renew, Pause/Extend, Stop & Cancel Subscription Plan Options

A client’s subscription can be renewed, edited, paused & extended, stopped and cancelled from the Renewals page.

RENEW plan manually . Change plan, classes, start date and end date, if you wish to.

EDIT plan, classes, discount and start date. Disabled if payment received for the plan.

PAUSE / EXTEND if a student can’t come for a few days and/or extend their subscription.

STOP when you want to disable auto renewal on end of plan or if you want to stop subscription mid-way.

CANCEL SUBSCRIPTION for entire plan duration and enter cancellation fee, if any.

Find these actions under Home Page > Quick Actions > Renewals > option

Renew a Plan/Subscription

To renew a client’s subscription, please follow these steps:

1. Navigate to the Renewals list page, where you will find a list of renewals for each client.
2. Position your cursor over the desired client and click on the Renew icon.
3. The Renew Plan page will open, displaying the plan, class, start date, invoice number, and discount pre-filled based on the last subscription.
4. You have the option to modify any of these details if necessary.
5. Once you have reviewed and made any changes, click on the RENEW button to complete the process.


Renew a plan in bulk

You have the capability to renew subscriptions in bulk for multiple clients efficiently.

  1. Navigate to the Renewals list page, where you will find a comprehensive list of each client’s renewals.
  2. Utilize the checklist on the left to multi-select the clients whose plans you intend to renew.
  3. Click on the ACTION button, then select Renew from the dropdown menu.
  4. In the dialog box that appears, choose “Renew without Change” if you prefer to renew their subscriptions as is. Alternatively, select “Change Plan Details” if you wish to modify the subscription during this renewal process.
  5. If you opted for “Renew without Change,” simply click on PROCEED. If you chose “Change Plan Details,” you will be redirected to the editing interface. After making the necessary adjustments, click on RENEW to finalize the process.

Pause / Extend Plan

To pause a client’s subscription when they are unable to attend sessions, follow these steps:

You can Pause their subscription for the said period of leave and optionally Extend their subscription.

  1. Click on the dropdown under the ⋮ option and select “Pause.”
  2. The Plan page will open, allowing you to set the Pause duration. Specify the Start and End dates for the pause.
  3. Optionally, you can assign an Extend date for the plan, which serves as a revised end date. If you wish to extend the subscription by the number of days it was paused, you can use the auto-fill option.
  4. Enter the reason for the pause for future reference.
  5. Finally, click on “PAUSE/EXTEND” to save the changes.

Stop plan

If a client discontinues their class midway, you can follow these steps to stop their renewal process:

  1. On the Home page, navigate to Quick Actions and click on Renewals.
  2. A renewal listing will appear, displaying the names and details of all clients.
  3. Hover over the desired client and click on the Stop icon.
  4. In the Stop Plan page, set the Plan Stop Date to the date from which the client no longer wishes to continue.
  5. If the client does not want their plan to auto-renew for the next cycle, set the Plan Stop Date to the End Date.
  6. If necessary, enter Revised fees; the pending amount will be recalculated automatically.
  7. Lastly, provide a Reason for stopping the plan for future reference.

Please note that once you stop a client’s renewal, they will not be automatically renewed, even if auto-renewal is enabled in the settings. Their name will be removed from the Renewals list, but their details will still remain in the Client list.

Stop Subscription in Bulk

You can stop subscriptions in bulk for multiple clients.

  1.  Navigate to the Renewals list page, where you will see the renewals for each client listed.
  2. Use the checklist on the left to multi-select the clients whose renewals you wish to stop.
  3. Click on the ACTION button, then select STOP from the dropdown menu.
  4.  In the dialogue box that appears, provide a reason for stopping the subscriptions.
  5. Click OK to confirm your action.

The subscriptions will then be stopped as per your request.

Cancel Subscription Plan

To cancel a client’s subscription that was added incorrectly or is not valid, please follow these steps:

  1. Click on the ⋮ option in the dropdown menu and select “Cancel subscription.”
  2.  On the Cancel Subscription page, review the pending fee and its details.
  3. If applicable, toggle the option to enter any cancellation charges you wish to levy.
  4. Provide a reason for the cancellation for future reference.

Please note that when a client’s plan is cancelled, their fee is also cancelled. If you intend to charge the client, you must specify the cancellation amount. For example, if a client wishes to cancel a subscription plan costing Rs.1000, you can impose a cancellation charge of Rs.200. Consequently, the pending amount will adjust from Rs.1000 to Rs.200.
